How to Track Figure Pre-Orders and Payments

Written by Moose, Head Archivist.UPDATED OCTOBER 6, 2026

Sixth-scale figures are mostly bought before they exist. A deposit today, a payment plan over months, a final balance when it ships, often a year or two later, and rarely from just one shop. It is lovely, and it is chaos. This guide shows you what to record for each pre-order, dear resident, so nothing arrives as a surprise: not the figure, and certainly not the bill.

THE SHORT VERSION

  • ▸Record each pre-order once: the shop, the price, the currency, the deposit and the payment plan.
  • ▸Keep three totals in view: what you have paid, what is still to pay, and what is due next.
  • ▸Put payment days on a calendar beside the release windows, so a month with three balances never sneaks up on you.
  • ▸When a figure arrives, close its plan and move it to owned; if you cancel, note what you paid and what should come back.
  • ▸Keep pre-orders apart from figures you own: they are a promise, not yet a figure on your shelf.

Why pre-orders need their own record

A pre-order lives longer than most collectors expect. Release windows slide, shops spread payments over months, and a figure ordered in one currency is paid off while the exchange rate wanders. A single line saying "ordered" hides almost everything that matters.

Collectors with a dozen open pre-orders across several shops are completely normal. Without a record, the balances arrive in waves, and you find out how many at the worst possible moment.

What to record for each one

The exact figure, by product code and edition, so you know which one you ordered. The shop and the order number. The full price and its currency. The deposit and the date you paid it. The plan: how many instalments, how much and when. Any discount, shipping or import charge the shop adds.

Then keep it current. Mark each payment as paid when it goes through, and note the shop’s current arrival window. A plan that is not updated is just a nicer-looking guess.

How the Coffers keep it for you

In your Kollectorium Vault, the Coffers keep pre-orders and payments. Record a pre-order once and the Coffers show what is paid, what is still to pay and what comes next, on a calendar of payment days. Press MY PAYMENTS on the release calendar and your payment days sit beside the hobby’s release dates, visible only to you.

For a Sideshow order, paste a screenshot of the order page and the Coffers read it for you, right in your browser; the picture is never uploaded or kept. When the figure arrives it moves from ordered to owned and its plan closes. If you cancel, the Coffers note what you paid and what should come back.

Frequently Asked Questions

How do I keep track of figure pre-orders?

Record each one once, with the shop, price, currency, deposit and payment plan, then mark payments as they go through. Keep paid, still to pay and due next in view, and put payment days on a calendar.

Can I track pre-order payments in more than one currency?

Yes. Each pre-order in the Coffers keeps its own currency, so an order in euros and one in dollars each show their own paid and still-to-pay amounts.

What happens to a pre-order when the figure arrives?

It moves from ordered to owned in your Vault and its payment plan closes. If you cancel instead, the Coffers note what you paid and what should be refunded.
